Using the Conversation Reader

Opening Conversation Reader messages in Outlook

You can open the messages shown in the Conversation Reader in Outlook for editing, replying, deleting, retrieving attachments, etc. This depends on which mode the Conversation Reader is in.

To open a Conversation Reader message when in Compact Mode

1.Open the Conversation Reader (see Opening the Conversation Reader for instructions)
2.If the Conversation Reader is not in compact mode, click the Mode button to toggle it into compact mode
3.Click in a message bubble to open that specific message

or

Click in the header panel to open the message currently selected in Outlook (the message with the blue preview text)

To open a Conversation Reader message when in Normal Mode

1.Open the Conversation Reader (see Opening the Conversation Reader for instructions)
2.If the Conversation Reader is not in normal mode, click the Mode button to toggle it into normal mode
3.If the email you want to open is not the current email shown (i.e. fully rendered), then scroll through the bubble summaries until you locate it, then click it to make the current mail
4.Click the Open button in the mail header section

or

Click in the header panel

Tip  If the Mode button is not visible, then the bottom controls panel may be can be hidden (collapsed). Click the Show button on the top panel to show it.

Building conversations based on subject

If emails appear to be missing from the conversation, then the senders are probably using email clients other than Outlook. By default, Taglocity uses the internal Conversation ID to build conversations. Outlook manages this value and other email clients ignore it. You can elect to have Taglocity build conversations based on matching subjects.

Check the Show all with same subject checkbox at the bottom of the Conversation Reader to build the conversations based on matching subjects (if this checkbox is not visible, see Tip below).

Note  If you use this setting with an email that does not have a unique subject, the Conversation Reader will include messages from different conversations.

Tip  If the Show all with same subject checkbox is not visible, then the bottom controls panel may be can be hidden (collapsed). Click the Show button on the top panel to show it

Viewing the full content of summary bubbles

Once you have the Conversation Reader open, you can then click on the summary bubbles to see the full contents of the email. If the Conversation Reader is in Compact Mode, then clicking a summary bubble will open the message in Outlook.

Tip The background color of the currently expanded bubble is white instead of light blue.

Resizing the Conversation Reader

The Conversation Reader has two panes: a preview pane for the summary bubbles, and a reading pane for fully viewing the selected email (bubble).

When in Compact mode, the  reading pane is hidden to make the reader work well in small spaces.

When in Normal mode, if there is only one email in the conversation, then the preview pane is hidden to give the reading pane more room. The preview pane is located above the reading pane when the Conversation Reader is taller than it is wide. Therefore if you resize the Conversation Reader (by dragging its border), the orientation of the preview and reading panes may change.

When the size of the Conversation Reader reduces in height to about 350 pixels, then the subject panel disappears to make more space available for the emails. The subject instead replaces the people list in the header panel. Hover your mouse over the label to see the list of people in the tool tip. By clicking the the expand/collapse button in the header panel , you can make even more space available for email content.

To resize the Conversation Reader

1.Hover you mouse over the border until you see the pointer change
2.Click and hold the mouse button
3.Move the mouse until the desired size is achieved
4.Release the mouse button

 

Tip  With a single mouse click on the middle of the sizeable border on any Taglocity pane (it may be vertical), you can temporarily hide the pane, and then bring it back with another click. In other words, this 'zone' collapses and expands the pane.

Tip  You can hide the Tagger panel on the bottom of the Conversation Reader window by clicking the expand/collapse button in the header panel

Tagging in the Conversation Reader

The Conversation Reader includes an embedded Tagger control. You can tag individual emails in the conversation, or put the same set of tags on all of them.

To tag individual emails in the Conversation Reader

1.In Outlook, select one email in the conversation you want tagged
2.If the Conversation Reader is not already open, click the Reader button on the Taglocity toolbar or ribbon tab (if the Tagger is not visible, the expand/collapse button on the top panel to show it)
3.Make sure the Conversation Reader is in Normal mode (with both the preview bubbles and full rendering visible), and ensure the Tag conversation checkbox is cleared
4.If there is more than one email in the conversation, then the preview bubbles pane is visible. Click the preview bubble of the email you want to tag to make that email current and load its tags into the Tagger.
5.In the Tagger, if necessary remove tags (right click and choose Remove this Tag) and add tags for the selected email (click for Tip)  Either type the tags into the Tagger separated by commas, or start typing a tag and then select it from the auto-complete list with the arrow keys, then press Tab to accept it. Or click the drop-down arrow in the Tagger and click the checkboxes next to the tags you want to assign. Note that if you type a tag into the Tagger that's not setup yet, then Taglocity will prompt you for confirmation to add a new tag to your collection. If you answer Yes, then the Tag Properties dialog box will open for you to change default settings if you like. 
6.Press Enter or select another email to save the tags

To put the same tags on all emails in a conversation

1.In Outlook, select one email in the conversation you want tagged
2.If the Conversation Reader is not already open, click the Reader button on the Taglocity toolbar or ribbon tab (if the Tagger is not visible, the expand/collapse button on the top panel to show it)
3.In the Tagger, if necessary remove tags (right click and choose Remove this Tag) and add tags you want on all messages in the conversation (click for Tip)  Either type the tags into the Tagger separated by commas, or start typing a tag and then select it from the auto-complete list with the arrow keys, then press Tab to accept it. Or click the drop-down arrow in the Tagger and click the checkboxes next to the tags you want to assign. Note that if you type a tag into the Tagger that's not setup yet, then Taglocity will prompt you for confirmation to add a new tag to your collection. If you answer Yes, then the Tag Properties dialog box will open for you to change default settings if you like. 
4.Click the Replace button in the Tagger (if you check the Tag conversation checkbox, the same action occurs, however, until you clear this setting, all future emails in the conversation are automatically tagged)
5.Choose Yes when prompted that all the tags in the emails in the conversation will be affected

Important When you click the Replace button in the Tagger, a replace (synchronize) operation occurs to replace the tags (except those with the Exclude from Conversation Tagging setting on) on all messages in the conversation with the tags in the Tagger. This means if any of the emails in the conversation have different tags on them, those tags will be removed unless they have the Exclude from Conversation Tagging setting on.

Tip  If the Tagger is not visible in the Conversation Reader, then the bottom controls panel may be can be hidden (collapsed). Click the Show button on the top panel to show it.

Note  If emails appear to be missing from a conversation, then that email probably originated from an email client other than Outlook. If this is the case, select the Show all with same subject checkbox at the bottom of the Conversation Reader window. This will use the subject field to retrieve all of the emails in the thread instead of the internal conversation ID field that Outlook manages. If you use this checkbox, and the subject name isn't unique, you may end up with emails from different conversations.

The header section of the Conversation Reader shows the subject of the selected conversation, the list of people involved in the conversation, and an expand/collapse button to show or hide the Tagger panel (to work better in short spaces).

Note  The bottom controls panel can be hidden (collapsed) by clicking the Hide button in the bottom panel. To show it again, click the Show button on the top panel.
