Muting conversations is a way to ignore emails that are part of long conversations (threads) that aren't relevant to you, thereby distracting you less.
When you mute a conversation, Taglocity keeps all future emails related to the conversation out of your Inbox, but still available for you to review later if you like, and also still searchable.
Note Only emails originating from other Outlook email clients can be muted. In order to track conversations for muting, Taglocity uses the internal Conversation ID field that Outlook manages. Other email clients ignore this and alternatives like matching on subject and recipients etc. is too processor intensive for people who get lots of email.
Muting and Un-muting Conversations
Upon arrival, emails in muted conversation are moved out of your inbox to a separate folder By default, this folder is Muted Messages under your Inbox, and then tagged with Muted. These emails are not marked as Read.
1. | In Outlook, select an email belonging to the conversation you want to mute |
3. | The selected email and all other emails in the conversation, except your replies in Sent Items, are moved to the Muted Messages folder and tagged with Muted |
|
When you un-mute a conversation, the selected email and all other emails in the conversation that were previously moved to the Muted Messages folder are moved back to your Inbox, and the Muted tag is removed from the emails. Future messages in the conversation will be delivered to your Inbox.
1. | In Outlook, select an email belonging to a muted conversation (Tip see Reviewing Muted Conversations below for help finding muted emails) |
2. | The Mute button on the toolbar or ribbon tab will change to Unmute with a highlighted background to signify that the current email is part of a muted conversation |
3. | Click the Unmute button |
|
Reviewing Muted Conversations
If you haven't moved muted conversations away from the Muted Messages folder, and haven't used tags with Move to Folder actions on emails in muted conversations, then you will find all muted conversation emails in a single folder. By default this folder is called Muted Messages located under your default account's Inbox. If you have changed this location, or are not sure, hover your mouse over the Mute button on the toolbar, or jump to Mute Conversation Settings.
2. | In the Location box, ensure that My Outlook Information checked |
3. | In the Tag Search box, type Muted (Search will automatically start) |
Tip You can also create an Outlook search folder to see all muted emails regardless of folder (based on the Muted tag)
|
