Applying Multiple Tags from By Categories View - Frustrating

My preferred way to view my inbox is in Categories view.  That way all my unprocessed mail (i.e. uncategorized) remains at the top as uncategorized mail.

When I used Windows categories feature to "tag" my mail, this worked because I could select several categories from a menu and apply them at one, after which the message would disappear from "uncategorized".

With Taglocity, however, I can only apply one at a time.  As soon as I click on a tag in the tag cloud or save a tag from the quick tag bar, the message is not shown in uncategorized and the next message in uncategorized is selected.  Taglocity doesn't keep focus on the message I was tagging.

I hate to say it, but it is easier to tag messages using Outlooks categories feature.  Especially multiple tags.

Even when I am in "By Date" view, where you can apply multiple tags to the same e-mail without losing focus on the item, it is still cumbersome using the QuickTag.
(1) Open the Quicktag Dialog, or click into the field if it is already open
(2) type the first few letters of the tag
(3) click on the tag
(4) click "Save"
(5) repeat steps 2 through 4 for each additional tag

I find the tag cloud to be overly cumbersome to use as I have a large number of tags.  I will try out the new feature of the latest release that allows me to limit the cloud to my most commonly used tags and hide tags I don't need like completed project codes or vendor names that I no longer use.

Still every time I have to move my hand from the keyboard is a loss in productivity.  I can process messages much faster using Outlook's keyboard shortcuts to categorize my messages.  I really don't like the tag cloud's hunt and click approach.

For the next release, I'd like to see the ability to select multiple tags in the "QuickTag" box before saving them.  AND the ability to select tags in the QuickTag box without having to use the mouse.  Perhaps a numbered list for suggested tags as you type and then you hit the number to select the tag you want, which clears the text field so you can begin typing the next word (just like a Chinese-character input in windows).  Hitting ENTER will save the tags to the message and bring focus to the next/previous (per user's setting) message in the inbox.

Hi Paul,

I, like you, often prefer to use the keyboard as it is quicker and there are a number of keyboard shortcuts you can use for multiple tagging on QuickTag, plus finding tags quickly on the TagCloud.

(1) The TAB key will bring the selection cursor down from what you have typed in the QuickTag box on to the tags to be selected. You then press SPACE to select them one at a time, and multiple can be selected - you don't need to hit SAVE for each one. You can TAB between the candidates or use the cursor keys. If you type a letter, the list of candidates will get shorter as you specify more. Once you have a selection of multiple tags you like then you can press the RETURN key to act as a 'Save' click.

(2) By default, CTRL-Q brings up the QuickTag window. It also will put the text cursor into the QuickTag window if the tool is already being shown. Also, if you press CTRL-Q while in the QuickTag edit area (these shortcut keys are configurable in Configure/Tools Preferences) then it will close the tool window.

(3) In the TagCloud you can press the first letter of the tag you are looking for and they will all 'light up' in yellow.

(4) Like the QuickTag, the TagCloud can be used without a mouse with the TAB, SPACE and cursor keys. Note, if you are in the 'first letter light up mode' then you can use the TAB key to just cycle through the smaller highlighted selection, and hit SPACE to click.

Also, just to clarify, the QuickTag does allow multiple selections before a SAVE, as you just type the tags separated by a space, or by typing some of the first letters and selecting (with keyboard or mouse) from the 'candidates' area.

(Note: These tips are for Taglocity for Outlook 2003, the 2007 beta is behind in this area)

The keyboard shortcuts, plus other tips can be seen in the help here: http://www.taglocity.com/help/QuickTag.htm and here: http://www.taglocity.com/help/TagCloud.htm

Hopefully with these techniques you'll still be able to use the Category View you prefer - please let me know if these help.

Thank you.  I will work on this.

Using the keyboard with the Quick Tag box works great.  But the tag cloud doesn't work at all with the keyboard.  First, I can simply TAB to the tag cloud.  Second, I can't get it to highlight words as I type in the tag cloud unless I first click on a tag, which defeats the purpose.

If the tag cloud is the active window, I can move back and forth among the tags with the tab and arrow keys.

I'm happy with the Quick Tag box and it is what I'll use even if the Tag Cloud was working for me, but I am curious why I can get the highlight as you type feature to work for me, unless of course it is designed to only work when you first select a tag.

Oh, it may be a tool focus bug - if you first press TAB (may twice?) does it make any difference?

Also, if you click into the TagCloud (yes, I know that's not what we want) and then press a letter does it highlight?

Thanks for the report - I'll try to recreate here - my muscle memory on these shortcuts is probably a bit broke, so let me try it again to see if it breaks.
